Restaurant Arrival and Check-In Procedures
Purpose
This Standard Operating Procedure explains how Carlsbad Food Tours guides should arrive at and check in with restaurant partners.
A smooth arrival helps the restaurant prepare the tasting, protects the tour schedule, and demonstrates respect for the staff serving our guests.
Before Arriving
As the group approaches the restaurant, confirm:
- The correct restaurant and entrance
- Scheduled arrival time
- Current guest count
- Dietary needs for that stop
- Approved tasting
- Expected seating or gathering area
- Name of the restaurant contact, when available
If the group is running more than a few minutes early or late, contact the restaurant according to company procedure.
Entering the Restaurant
Ask guests to wait together in a safe location while you check in, unless the restaurant has instructed the group to enter immediately.
Do not allow guests to crowd:
- The host station
- Doorways
- Service aisles
- Kitchen entrances
- Pickup counters
- Areas used by servers
Approach the host or designated contact calmly.
Say:
“Hello, I’m [name] with Carlsbad Food Tours. I have [number] guests for our scheduled tasting. Is this still a good time and place for us to gather?”
Confirming Readiness
Quietly confirm:
- Final guest count
- Dietary accommodations
- Tasting being served
- Seating or standing location
- Estimated service timing
- Whether the restaurant representative will speak
- Payment or voucher procedure, if applicable
Do not discuss confidential guest information where unrelated customers can hear.
Preparing the Group
Once the restaurant confirms readiness, invite guests inside and give clear instructions.
Say:
“Our table is ready. Please follow me and keep this aisle open for the restaurant staff.”
Help the group settle promptly. Avoid rearranging furniture without permission.
When the Restaurant Is Not Ready
Do not show frustration or place blame.
Ask for a realistic estimate and determine whether the group should:
- Wait nearby
- Hear a short story
- Visit a nearby landmark
- Use a restroom opportunity
- Continue to another approved stop
Contact the owner or tour manager before making a significant itinerary change.
Performance Standard
A trained guide should:
- Arrive near the scheduled time
- Check in before bringing in the group
- Confirm headcount and dietary needs
- Keep entrances and service areas clear
- Communicate respectfully
- Avoid disrupting restaurant operations
